How to place an order
We can copy archival documents and our Foster Library material onto paper or reproduce as digital images, supplied on CD-ROM. Digital images can be e-mailed on rush orders for which there is a surcharge.
We can produce duplicate microfilm or microfiche (e.g. parish registers). For large contract orders we can produce new microfilm or microfiche.
- Please complete an order form and post it to us, as copyright legislation requires your original signature.
- Do not send payment at this stage, as we shall not know the final cost until we have seen how many pieces the item comprises. When we have received your signed order form, we shall process the order and then let you know the total cost. If you opt to pay by credit or debit card, we shall charge your account and despatch your copies straightaway. If you are paying by cheque, we shall await your payment first. If you prefer to set an upper payment limit at the time of placing your order, please advise on your order form and we shall contact you if we calculate the order will cost more before the copies are made.
How much will my order cost?
Unfortunately we cannot provide firm quotations, but only unit charges and guideline estimates. If you have an upper cost limit, please advise us on your order form.
There is a minimum order charge (2012-13 - £3.40 plus postage and VAT).

Digital photography
1. Filming charges on all orders
Standard size document - £2.25 + VAT document set up charge plus £1.25 + VAT for every image on each document.
Outsize document - £6.55 + VAT document set up charge, plus £1.25 + VAT for every image on each document
2. Add the format sold to the filming charge
- Digital images on CD or e-mail
PDF format unless another file type (e.g. jpg) has been agreed
CD - £6.40 + VAT each and add £0.65 + VAT for every image copied
E-mail £2.60 - Digital printouts (100g paper)
- Black & White: A4 £0.75, A3 £1.05+ VAT
- Colour: A4 £1.30, A3 £1.60 + VAT
Interests of owners and depositors of the archive collections
- In some cases, the written permission of the depositor may have to be obtained before copies will be made. Letters granting permission must be addressed to Lincolnshire Archives.
- We are unable to provide copies of Wills after 1858. These are supplied by the Probate Registry at Leeds.
How long does an order take?
Orders may take up to four weeks to process. Rush orders (up to 5 days) are 100% extra cost.
Which order form do I use?
Use order form COPY 1 for all orders, except microfilm and microfiche. Use a separate Card Payment form if you wish to pay by credit or debit card.
Copies are supplied for personal study and non-commercial use.
Please discuss your requirements with staff if you intend to reproduce an item in a publication.
Search Room visitors can also use:
- The microfiche printer, but please do check that the facility is available before making a special journey.
- The same day photocopy service is available for single page documents viewed in the Search Room for up to a maximum of 5 X A4 or A3 single sheet copies (black & white only). This service is available Tuesday to Friday.
Interests of owners and depositors of the archive collections

Interests of copyright owners
- All copies are made on the understanding that those who request them and subsequently retain them are aware of their responsibility to comply with the current law on copyright. Customers are obliged to sign the copyright declaration on the order form. A faxed or printed copy is not acceptable.
- Photography. Lincolnshire Archives offers a digital imaging and printout service using a camera producing high resolution images. There is a charge of £5 per day to use your own digital camera to take images in the public search room, see the “Taking your own digital photographs for private study” link below for more details.
- Reproduction fees. Customers who intend to reproduce images supplied in any format or lengthy transcriptions should write to the Collections Team Leader (Research and Information), Lincolnshire Archives, giving details of the item concerned, the type of publication, print-run/circulation and commercial status. If permission is granted, you will be advised if a fee is to be charged for every item reproduced. See "More in this Section" below for a list of Heritage Service Reproduction Fees.
- Conditions of supply: In certain cases, such as purchase by institutions, a contract will be issued prior to the sale of copies. Please enquire if you require several copies of an item for legal purposes.
