Public task statement: Archives

This statement sets out the functions carried out by Lincolnshire Archives and what information is available for re-use under the Re-Use of Public Sector Information Regulations 2005.

The public task

Lincolnshire Archives, incorporating the Tennyson Research Centre gathers, keeps and enables access to historic archive collections relating to Lincolnshire and the Diocese of Lincoln. This includes local and family history resources relating to historic Lincolnshire and beyond. Catalogues can be searched at Lincs to the Past.

Lincolnshire Archives is a Lincolnshire County Council service. The core functions are carried out within a complex legal framework including the Local Government (Records) Act 1962, the Local Government Act 1972, the Public Records Acts 1958 and 1967, the Parochial Registers and Records Measure, 1978 (amended 1992), the Manorial Documents Rules 1959 (amended 1963 and 1967) and the Public Libraries and Museums Act 1964.

Information available for re-use

You can see and re-use information that is published by the service (eg catalogues, indexes, policies,procedures) free of charge provided this information is not subject to Data Protection [eg accessions register] or a third party agreement. This includes catalogue entries on Lincs to the Past.

A number of archives have been digitised and are available at Lincs to the Past and Find my Past.

You can also see archives and publications held at Lincolnshire Archives free of charge during our opening hours. Charges may apply where items are required sooner than our normal production times, or where more items are required than are usually produced per collection. Please note that documents classified as Public Records will only be available during our normal production times and are restricted to the number of items that can be requested per collection. You can make a copy of most of these items for personal use but the law for re-use is more restrictive. Copies will be made available for personal use unless the archives are considered too fragile to be copied. Administrative charges are applied for the use of digital cameras in the Search Room. Charges are applied for any copies made by Archives staff. Charges will also be applied for reproduction. Constraints include copyright, intellectual property rights, Data Protection and third party agreements, and are outlined in our copying guidelines.

In order to cater better for Data Protection requirements and prevent identifications, Lincolnshire County Council, when appropriate, will anonymise data to be released by following the indications specified by ICO in the relevant Code of Practice “Anonymisation: managing data protection risk”, issued in November 2012.
