Why we collect information about you

We collect information about young people aged 16 to 18 (and up to 25 if they have an education, health and care plan) to track their current education, training, or employment status.

This helps us meet our statutory duty to support young people to participate in education or training and to report data to the Department for Education (DfE).

The information we collect enables us to:

  • understand whether young people are in education, employment or training (EET)
  • provide accurate, anonymised statistical reports to the DfE and local partners
What type of information we may collect
  • name, address, date of birth, and contact details (phone number, email address)
  • parent or guardian contact details
  • education and training history
  • employment details (if in work or apprenticeship)
  • intended destinations after leaving school or college
  • participation status (for example, in education, training, employment, or NEET – not in education, employment or training)
  • if you have an education, health and care plan (EHCP)
  • unique learner number (ULN) and other education identifiers

We may also process some special category (sensitive) data such as:

  • ethnicity
  • gender
  • sex
Lawful bases for processing information about you
  • necessary for compliance with a legal obligation
  • necessary for the performance of a task carried out in the public interest or in the exercise of official authority
  • necessary for reasons of substantial public interest
How we may collect your information
  • directly from you via text message, email, phone call, or online form
  • from your parent or guardian
  • from schools, colleges, training providers and higher education institutions
  • from local partner organisations
  • from national datasets provided by the DfE
Who we may share your information with
  • the Department for Education (DfE)
  • local schools, including maintained schools, academies, independent and special schools
  • post-16 education and training providers, such as colleges, sixth form and apprenticeship providers
  • local authority services that provide careers advice or youth support
  • organisations that provide employment, training or apprenticeship opportunities
  • other local authorities
How long we hold your information for

We are required to retain your information for as long as is necessary, after which it will be securely destroyed.
