FOI request: Enterprise Applications and Connectivity

Is a formal FOI request, can I request answers to the follow questions please.

For your customer service function only can you advise:

1. What line of business applications or solutions are used by that service and for what purpose? (very short summary will suffice)

2. Who is the supplier of that solution?(if possible time permitting) Is it an on-premise, cloud-based or hybrid solution?

3. When is the contract for that solution scheduled to expire? (Format: Year, month)

Additionally, for the council as a whole I would like to know:

4. What software applications or solutions are used widely across the council on an enterprise basis and for what purpose (eg Microsoft Office, Sharepoint, Copilot, ERP solutions etc)? 

For each enterprise solution please advise:

5. Who is the supplier of the solution?(if possible time permitting) Is it an on-premise, cloud-based or hybrid solution?

6. When is the contract for that solution scheduled to expire?

7. Is your council using any cloud-based services?

8. Is your council using two or more cloud-based services?

9. Is your council using 60% or more of cloud-based services for those services which could feasibly be based in the cloud? (I appreciate a precise answer to this question would require considerable interpretation and analysis - for expediency a good-faith estimate in answer to this question is sufficient)

10. Is the council planning to replace or introduce any new CCTV systems before the end of 2026/27? 

11. Please provide the details of current connectivity solutions and suppliers - eg for wifi, WAN, fibre etc 
 

Decision

1. * Clarity is used for booking courses organised by the Lincolnshire Road Safety Partnership

* Confirm is the Highways Asset Management System used for reporting defects and tracking progress in the Highways, Waste and Public Rights of Way Service Stream

* Fix My Street is the third-party online defect reporting form referenced by the Highways, Waste and Public Rights of Way Service Stream

* Jadu web platform (CXM and XFP modules and payments): The Jadu Customer Experience module (CXM) is used for processing transactional information on customer interactions. Jadu forms module (XFP) is used for the processing of transactional forms

* Mosaic is the Council's Case Management System for Social Care and used on Care and Wellbeing hub Service Streams

* Digital Delivery is the management system for all Passenger Transport contracts, including route planning, passenger allocation and bookings. It is also the eligibility management system, used for the processing of applications for free educational travel

* Stopford is the Council's appointments system used in Registration and Celebratory Service Stream * Synergy is the Council's home to school application used primarily in the Education Service Stream

* Soprano is the Library Management System used for loans and reservations in the Library Service Stream

* Tractivity is the CRM and stakeholder management system used by the Business Lincolnshire Growth Hub Service Stream

* Microsoft Office is used across all services

* Cloudbooking for the purposes of booking additional (non-ringfenced desks, rooms and assets)

* Let's Talk Lincolnshire survey platform

* Jadu Content Management System (CMS) corporate website

Contact Centre Solutions

* Anywhere365 Contact Centre and Telephony Platform

* Verint CM Pro is used as a CRM and contact logging application

* Verint Knowledge is used as a Council knowledgebase

* Calabrio Contact Centre Workforce Management System is used for workforce planning 2.

* Anywhere365 is provided by Symity, a Charterhouse company. It is a cloud-based solution

* Calabrio is provided by Serco. The Council does not hold information on whether it is onpremise, cloud-based or a hybrid solution

* All other systems are provided directly and are cloud-based.

4-6. The Council and its multiple business areas, provide many different solutions which reply upon enterprise level on-premise and Cloud-based software.

Unfortunately, this information is not held centrally, as our different business areas are responsible for their own contracts with multiple software providers.

To locate, retrieve and extract the information we have determined that it will exceed the time & cost limit of 18 hours or £450, therefore; we are refusing your request under Section 12 of the Freedom of Information Act 2000. If we were to receive a revised request which specified the type of software, or the service that it supports, we could reconsider our response. A revised request will be considered new.

10. No we have no plans, systems would only be replaced if they failed.

11. The Council’s WAN is provided by emPSN & Nasstar The Council has additional agreements with BT, Vodafone, Daisy, TalkTalk and Virgin Media for supplementary broadband and digital connectivity services.

These are not centrally managed, as these contracts are owned and managed by the various business area within the Council.
