Individual procurement exercises undertaken by Lincolnshire County Council

I am currently seeking to identify individual procurement exercises undertaken by Lincolnshire County Council during the 2022 calendar year so that I may submit one or more targeted requests for the underlying procurement records relating to specific procurements.

Accordingly, I request the following recorded information.

1. Procurement schedule

Please provide a schedule, register, index or other recorded list identifying procurement exercises undertaken by Lincolnshire County Council between **1 January 2022 and 31 December 2022 (inclusive)**.

For each procurement exercise, where recorded, please include:

1a.Procurement reference number or identifier.

1b. Procurement title or description.

1c. Date the procurement was issued or published.

1d. Procurement method (for example, open procedure, framework agreement, direct award, quotation, etc.).

1e. Successful supplier (where recorded).

1f. Contract value or estimated value (where recorded).

1g. Any other identifier recorded by the Council that would enable the procurement exercise to be uniquely identified.

If no single schedule exists, I request any equivalent recorded information from which the procurement exercises undertaken during that period can be identified.

2. Retention of procurement records

As I intend to submit subsequent requests for the underlying procurement records relating to selected procurement exercises identified from the schedule, I also request copies of any recorded information describing the retention of procurement records, including:

2a. The Council's current records retention schedule, retention policy, or disposal schedule applicable to procurement records.

2b. The retention period applicable to procurement notices, contract notices, invitations to tender (ITT), invitations to quote (ITQ), requests for quotation (RFQ), requests for proposal (RFP), tender documentation, specifications, statements of requirements, supplier submissions, evaluation records, moderation records, award documentation, contracts, contract variations, and contract management records.

2c. Where procurement records relating to 2022 have been destroyed, confirmation of the applicable retention period together with the policy, retention schedule or disposal schedule under which they were destroyed.

For the avoidance of doubt, the procurement schedule requested above is **not intended to replace my request for procurement records**. Rather, it is intended to enable me to identify individual procurement exercises so that I may submit separate, targeted requests for the existing procurement files and associated records relating to specific procurements.

The procurement records I intend to request include the existing records held in relation to individual procurement exercises, such as procurement notices, supplier invitation documents, specifications, statements of requirements, supplier submissions, evaluation and moderation records, internal decision-making records, award documentation, contracts, and contract management records.
